1. Who we are
SWMSmate is made by Dropwire Digital, ABN 52 622 001 343 (“we”, “us”). This policy explains how we handle personal information collected through swmsmate.com.au, in line with the Australian Privacy Principles. Questions go to [email protected].
2. What we collect
When you get the skill. The first time you download or copy a skill file, we ask for:
- your email address
- your trade or business type
- whether you want update emails, and if you do, the wording you agreed to and when
- the page and file you were getting, so we know which AI platforms people use
Your browser then remembers that you've signed up (it stores the date, nothing else) so you aren't asked again on that device.
When you email us. Your email address, name if you give it, and whatever you write.
When you visit the site. Google Analytics collects the pages you visit, how you got here, your device and browser, and your approximate location. Your IP address is briefly used by our server to limit repeat signups, and by our website host and GitHub (which serves the skill files) as part of delivering the site.
3. What we don't collect
SWMSmate runs inside your own Claude, ChatGPT or Gemini account. We never receive what you type into it, the job and site details you give it, the names and phone numbers in your SWMS, or the SWMS it drafts. That information is handled by your AI provider under their privacy policy. See section 4 of our terms.
4. How we use it
- to give you the skill files
- to understand which trades and AI platforms use SWMSmate, so we can improve it
- to send you update emails, only if you opted in
- to reply when you contact us
- to stop spam and abuse of the website
We don't use your information for anything else without asking you first, unless the law requires it.
5. Update emails
We only send update emails if you tick the opt-in box. It's unticked to start with, and you get the skill either way. The box says:
Send me occasional updates about SWMSmate, like new versions of the skill. Unsubscribe any time.
We keep a record of that consent. Every update email has an unsubscribe link, or you can email [email protected] and we'll take you off the list.
6. Who we share it with
We don't sell, rent or trade your personal information. We share it only with:
- Google, which stores our signup list (Google Sheets) and runs Google Analytics
- our website host and GitHub, which deliver the site and the skill files
- an email service, if we use one to send update emails
- anyone we're required to share it with by law
These providers handle the information on our behalf, under their own privacy and security terms.
7. Where it's stored
Google, GitHub and our website host may store and process information on servers outside Australia, including in the United States. We use well-known providers with strong security, but by giving us your information you acknowledge it may be held overseas.
8. Cookies and analytics
Google Analytics uses cookies to tell visits apart. It doesn't give us your name or email. You can block cookies in your browser settings, or install Google's Analytics opt-out add-on. Google explains how it uses this data in How Google uses information from sites that use its services.
9. How long we keep it
We keep your signup details while SWMSmate is running, or until you ask us to delete them. We keep consent records for as long as we might need to show you agreed to update emails. Emails you send us are kept as long as we need them to help you.
We take reasonable steps to protect your information from misuse, loss and unauthorised access.
10. Seeing, fixing or deleting it
Email [email protected] to ask what we hold about you, to correct it, or to delete it. We'll respond within 30 days. You don't have to give us your real name to visit the site, but we need an email address to give you the skill.
11. Complaints
If you think we've mishandled your information, email [email protected] and we'll look into it and reply within 30 days. If you're not happy with our answer, you can complain to the Office of the Australian Information Commissioner.
12. Changes
We may update this policy, for example if we start using a new service. The date at the top shows when it last changed. If a change affects how we use information you've already given us, we'll ask you first.
