Set up SWMSmate in Gemini

You'll need: A Google account with Gemini. Your account decides which option to use: personal accounts (gmail.com) add the skill, Google Workspace accounts (work or school) use a Gem.

Skill or Gem?
Google is replacing Gems with skills on personal accounts from November 2026, so personal accounts should add the skill. Work and school accounts can't use skills yet, so they use a Gem.

Add the skill

For personal Google accounts (gmail.com).

  1. Download the skill

    It's one file called SKILL.md.

  2. Upload it to Gemini

    Go to gemini.google.com and open Settings → Skills. Choose Upload and pick SKILL.md.

  3. Ask for a SWMS

    Start a new chat and say the words below, or type /swmsmate:

    “Make me a SWMS”

    Or tell it more up front:

    “Draft a SWMS for replacing a switchboard at 14 Example Ave, Marion SA”
    “I need a generic SWMS for gutter cleaning I can use at any house. I'm subcontracting to Acme Roofing.”

    It asks up to six quick questions, shows you a one-screen summary to confirm, asks whether to include risk ratings, then writes the SWMS.

Google's rules for skills: you need to be 18 or over, with Keep Activity turned on. Skills work on the Gemini website, the Mac app and the mobile app.

Option 2

Create a Gem

For Google Workspace accounts (work or school).

  1. Make a new Gem

    Go to gemini.google.com and open Gems → New Gem. Name it SWMSmate.

  2. Paste in the instructions

    Copy the SWMSmate instructions and paste them into the Instructions box.

    Download as a file
  3. Add the knowledge file

    Download SKILL.md and upload it under Knowledge.

  4. Save and ask for a SWMS

    Choose Save, open the Gem and say:

    “Make me a SWMS”

    Or tell it more up front:

    “Draft a SWMS for replacing a switchboard at 14 Example Ave, Marion SA”
    “I need a generic SWMS for gutter cleaning I can use at any house. I'm subcontracting to Acme Roofing.”

Workspace Gems keep running until March 2027 (June 2027 for education accounts).

Get your PDF

Gemini gives you the finished SWMS as a block of code (with a Gem it may open in Canvas). To turn it into a PDF:

  1. Copy the whole code block, using its copy or download button.
  2. Paste it into a plain text file and save it as SWMS-DRAFT-<site>.html. On Windows, use Notepad. On a Mac, use TextEdit and choose Format → Make Plain Text first.
  3. Open the file in Chrome, Edge or Safari.
  4. Choose Print, then Save as PDF. It's already set up for A4 landscape.
  5. If the colours don't show, turn on Background graphics in the print options.

Handy tips

  • Prefer portrait? Just ask. You can also ask it to add or remove risk ratings, or change any step.
  • Long SWMS can hit Gemini's length limit. If the code stops before </html>, say “continue the HTML exactly where you stopped”, then join the two parts together.
  • Results vary between AI models. Always check the Review before use box on page 1 and every highlighted CHECK item.
It's a draft, not a sign-off
Check it against the real job and site before work starts. Your workers need to read and sign it, and you're responsible for the final SWMS.
